Job Application, Résumé and Resignation Letter

Chapter One Application letter
A job application letter, also known as a cover letter, should be sent or uploaded with your résumé when applying for jobs. The principal function of a cover letter is to inform the potential employer about the type of position you are seeking and explain to the potential employer why you are qualified for the position and why you should be selected for an interview.
A good cover letter should not sound like a re-hash of your résumé. It should pull highlights from your résumé and tie it gracefully with the job description. Consider it a bridge between your résumé and the position you're seeking. Therefore, it should be specific to the position you are applying for, relating your skills and experience to those noted in the job posting.
How to write an effective application letter
1.At the top of the letter, add a letterhead. Your letterhead should include your full name, address, telephone number, and e-mail address;

2.Address the recipient properly. Be sure to refer to the recipient by his or her proper title (Mrs., Mr., Dr., etc.). If you’re not sure who the recipient is, write, “To Whom It May Concern:” or “Dear Sir or Madam”;

3.In the first paragraph, state your purpose. Tell the employer why you are writing to them in two or three sentences. State the position for which you are applying (or the one you would like to have should it become available);
I am writing to apply for the programmer position advertised in the Times Union. As requested, I am enclosing my résumé, certification and three references.
4.In the middle of your paragraphs, outline your qualifications, accomplishments, and abilities or work experience (detailed in your accompanying résumé) that have a special relevance for the position for which you are applying.
The opportunity presented in this listing is very interesting, and I believe that my strong technical experience and education will make me a very competitive candidate for this position. The key strengths that I possess for success in this position include:
I have successfully designed, developed, and supported live use applications
I strive for continued excellence
I provide exceptional contributions to customer service for all customers
With a BS degree in Computer Programming, I have a full understanding of the full life cycle of a software development project. I also have experience in learning and excelling at new technologies as needed.

5.In the final paragraph, include a positive statement or question that will motivate the employer to contact you. Make this closing paragraph between two or four sentences. Direct the employer to your enclosed résumé and make sure you specify that you are available for an interview. Finish off by thanking the recruiter for their time and consideration, and welcome them to get in touch with you for further conversation.

6.Add your signature.

7.Make a notation of the enclosure. If you enclose some documents, such as your résumé, you should indicate that the letter contains enclosure by making the notation that “Enclosure.”

Make sure you should review your letter before sending it out.
Tips to help ensure your letter will get noticed:
1.Spell check and proof read.
2.Avoid writing in passive voice. Stay away from phrases like, "this experience gave me the opportunity to..." or worse, "these goals were met by me." You do not want to sound like everything happened to you or that it was done by some other entity. Make yourself the active subject of every sentence (e.g., "In this role, I developed/reinforced/learned/etc."). However, this does not imply that every sentence should start with "I..." so vary your syntax accordingly;
3.Break down any contractions (e.g., revise "I've" to "I have") so as to cultivate a more professional tone of your letter.
4.Avoid colloquial (informal) writing. You want to sound professional and educated. Avoid all forms of slang, short forms of words and texting lingo.
Section Two Résumé
A résumé, sometimes called curriculum vita or CV,is a summary of a person’s business or professional background, and work experience for a particular position. The purpose of a resume is to interest potential employers in your capabilities, qualifications, and credentials for a given job. It usually accompanies a letter of application, which will help you to get a chance of interview. Keep your résumé short and concise – a single page if you can.

There are three basic types of resumes: chronological, functional, and a combination.

Chronological resume: it is the most common and the most readily accepted resume format. You will arrange your jobs in reverse chronological order beginning with your present or most recent position. The name and address of the company; the dates of employment; job titles; and a description of your duties and responsibilities in order of importance must be provided.
Functional resume: you will emphasize your responsibilities and duties, instead of your employers, exact employment dates, and job titles. Such a resume should never be used if you have been steadily employed.
Combination chronological-functional resume takes the best of both formats by highlighting the candidate’s skills and experiences and includes dates of employment without giving them significant focus.
Layout of résumés may vary, but spacing should always be neat an uncluttered. Readability and the ease of finding important information are critical. To achieve this, you need do:
Draft a specific employment objective or goal statement for the opening of the résumé.
Place your name and telephone number at the top right or in the top center of your résumé.
For a centered heading, use “Summary of Work History”, “Education”, “Activities”, “Special Skills”.
Prepare a detailed working list of all positions, activities, or other experiences that can validate your skills and abilities.
Choose a résumé format that emphasizes your skills and abilities. There are two basic approaches.
The traditional reverse chronological employment formats starts by listing your most recent position and going back through time. Put the dates of employment on the left side of the page. Beside each date, list the name of the company where you worked during that period. Underneath give the title of your job there and a brief description.
The non-chronological, skills-oriented or functional résumé stresses your skills, accomplishments and relevant qualifications in a way that allows a prospective employer to determine whether you are what is needed. In this résumé you group job experiences according to a specific skill.
Whichever format you choose, make all listings parallel in form. For each job, activity, or experience you decide to include in your résumé, list tasks or skills using an action verb and specifics. (I directed, I supervised, I increased…)
Give the essential facts of your education: name of school, city where it is located, the diploma or certificate you earned, the course of studies you pursued, special training.
List special skills: familiarity with office machines, tools, equipment.
List honors and scholarships; organizations to which you belong; leadership positions you have held including class offices, volunteer work not mentioned elsewhere; and other relevant activities and qualifications.
State that reference will be supplied upon request.
Review your résumé a final time before submitting it to verify the completeness and accuracy of the information and to avoid inappropriate information

Your major duties there are: telephone communication; mailing management; reception. Recently you got the news from www. that PPC Company (a multinational company) is looking for a Sales Manager Assistant. Please write an application letter together with your résumé.

Section Three Resignation letter
Resignation letter is a letter written by the employee to his supervisor to confirm your decision to resign from the company.
The common practice is to resign in person, and then to follow up with a letter. Resignation letters should be as positive as possible, regardless of the reason you are leaving a job. Begin with a positive remark about the position, company, or person to whom you are writing.
Start on a positive notes, regardless of the circumstance under which you are leaving;
Consider pointing out how you have benefited from working for the company or say something complimentary about the company;
Comment on something positive about the people with who you have been associated;
State that you are resigning as of a specific date and explain why you are leaving. “For personal reasons” is used when you prefer not to identify the real reason.
At the end of letter, express your willingness to help your replacement or do anything to handle the work. Be brief, dignified, and somewhat formal.
Remember a letter of resignation is not the place for complaints or anger.
